Retail Ordering Policies
The most expeditious way to order is through our secure website (see Online Ordering Protection). You can choose to set up an account which will expedite future ordering from Samara Botane online, or you can simply place an online order. An automatic confirmation will be sent at the time your completed order is received in our secure online system. Because online orders prepaid by credit card are the simplest for us to process, you will receive a 5% online discount, unless otherwise stated on the website (the discount does not apply to Packaging supplies, or to Samples which are are already discounted). You can also sign up for our 10% professional discount or 10% student discount if you attend one of the educational institutions that we supply. These discounts supersede the 5% online discount. You can also order by telephone through our order desk at 800.782.4532. We appreciate your thoughtfulness to have your order ready, use our product codes to expedite taking the order, and have your credit card information readily at hand. We realize that there may be questions about our products, especially for those new to aromatherapy, and we are happy to provide our expert assistance by phone or email at firstname.lastname@example.org.

You can rest assured that Samara Botane provides the most secure online ordering available. Our website is monitored by McAfee SECURE to insure it cannot be compromised by hackers. We also are a certified secure site for protecting your credit card information and verified by SSL (secure socket layer) encryption technology. This premium security is the highest level of security available on the market today.
We honor Visa, MasterCard, Discover and American Express credit cards.
Washington state residents are required to pay the applicable tax for retail orders. At checkout, you will see an estimated tax, which will be adjusted to the actual tax when your order is processed.
Please go to our "sign ups" button on the navigation bar to apply. Professional discounts are in lieu of the online 5% discount for all customers who shop online.
Students who attend one of the educational institutions we supply can apply for a 10% student discount. Fill out online form on the "sign ups" button on the navigation bar.
Please note that discounts do not apply to any packaging supplies, to sales or specials already discounted or discounted closeouts.
We do not require a minimum purchase for retail orders, however our pricing is structured that you proportionally pay less for larger quantities. Shipping is free on orders over $300 after discounts, thus larger orders save you money.
We will not charge you for items out of stock; you will see a 0 in the quantity column for that item on your sales receipt. We do not wish to tie up your money and incur paid backorder requests; therefore, we request you re-order that item. You can always inquire by phone or email at email@example.com to see if we have the item back in stock.
We ship all domestic retail orders by USPS Priority Mail, which means we can ship to your post office box, office or residence. Over the years, we have found this to be the most dependable method, and there are several choices that can save you money. We will choose Priority Flat Rate if your items fit one of the three box sizes available. This has proven to provide savings on heavier items over regular Priority Mail, UPS or FedEx. Retail orders over $300 after discounts are shipped USPS Priority Mail free of charge. You can choose to upgrade to expedited shipping on your order.
International shipments will be sent by the most appropriate carrier, depending on geographic location and you will be notified by email of your shipping charges. You must notify us by return email to approve international shipping costs before we process your order. Please be aware of the import regulations of your country; you may be required to pay additional import fees.
Shipping charges are actual charges, with the exception of check or money order shipments which will be estimated so that you can include these charges in your prepayment by check or money order. We do not charge a handling fee; you'll be impressed by the care we take with your package, and we insure all orders and charge a small fee for insurance on orders over $100.
We understand that it is difficult to purchase aromatic ingredients, especially expensive ones, without knowing that their organoleptic qualities meet your requirements. We provide inexpensive samples so that you can examine any one aromatic ingredient prior to purchasing larger amounts. Sample purchases are limited to one each per customer of any specific essential oil, absolute, concrete, floral wax or CO2 extraction within a six-month period, and to a maximum of 10 samples per order. Our samples are approximately 1/4 ml or 1/4 gram. Because we offer the opportunity to examine any aromatic ingredient by sampling, aromatic ingredients cannot be returned for credit or refund. Samples are priced at our cost, so any applicable discounts will not apply to purchases of samples.
Returns and Refunds
Our success is determined by your satisfaction regarding the integrity of our company. We make every attempt to assure that you are happy with our products and services. We pride ourselves on accuracy; however, if we make a mistake on your order, we will credit your account for the cost of return shipping and ship the correct item at no charge to you once the item in error is returned. Please call us to tell us of the mistake before sending an item back. Some unopened, undamaged products such as aroma-jewelry, books, bottles, jars, equipment, tools and packaging items can be returned within 30 days of ship date, regardless of your reason and provided they are undamaged. In this instance, you are responsible for shipping costs. The decision for amount refunded will be made upon examination of the returned product to insure that the item can be restocked and resold. Exceptions are essential oils, absolutes, concretes, CO2 extractions and floral waxes, whole or in dilution - see samples for applicable policies on these items. Spa, skincare or other perishable products also cannot be returned as there is no way for us to insure the integrity of the ingredients to restock and resell. We are sure that you understand our position in this regard. Please provide an explanation for any return, along with contact information. We are unable to accept returns from international customers.
